Administrative Assistant - Full Time: NF-0303-02

INTRODUCTION
This position is located at, Morale, Welfare and Recreation (MWR) Department at NAS Key West. The purpose of this position is to provide clerical support to Morale, Welfare and Recreation (MWR) Department at NAS Key West.
MAJOR DUTIES AND RESPONSIBILITIES
- Prepares and types correspondence using established procedures.
- Review/edit incoming and outgoing correspondence for proper format, conformance with procedural instructions, spelling, grammar and typographical accuracy.
- Responsible for the creating, updating and maintaining accurate records by using both hard paper and electronic files systems.
- Receives telephone calls and visitors. Provides referrals to other divisions, as appropriate.
- Responsible for handling office mail, to include sorting, reading incoming correspondence and preparing outgoing.
- Makes arrangements for meetings including space, time and notifies attendees of agenda. Assembles background materials, reports and statistical data pertaining to meetings, briefings, etc. Provides minutes or summary reports of meetings.
- Performs other related duties as assigned.
FACTOR 1. KNOWLEDGE REQUIRED BY POSITION
- One year office experience, with demonstrated knowledge, skills and abilities to perform the duties outlined above.
- Must be skilled in the use of a personal computer and various software programs. Must be able to type by touch with speed and accuracy.
- Ability to communicate effectively both orally and in writing.
FACTOR 2. SUPERVISORY CONTROL
- The Director makes selected continuing or individual assignments by indicating generally what is to be done, the limitation, quantity, and the priority or deadline of assigned work tasks.
- Recurring assignments are carried out independently without specific instructions. Situations involving unfamiliar problems not covered by instructions are referred to the Director for resolution.
- Completed assignments are reviewed to assure that work practices, techniques, records, and other functions are technically accurate and in compliance with instructions.
FACTOR 3. GUIDELINES
- The incumbent works under normal supervision. Incumbent is expected to perform daily work on own initiative and carry out assignments in accordance with DOD and Navy regulations. The Supervisor will provide suggestions for handling unusual situations.
FACTOR 4. COMPLEXITY
- The incumbent is required to execute policies, regulations and guidelines as they pertain to a wide variety of procedures and internal controls. Work involves multiple/changing priorities and sensitive/confidential information.
FACTOR 5. SCOPE AND EFFECT
- The purpose of the work is to provide administrative support to the MWR Department. The work directly contributes to the military members, retirees, civilians and family member's quality of life and mission readiness.
FACTOR 6. CONTACTS
- Personal contacts include MWR staff, all internal department heads, Public Works; tenant commands and also has regular contact with contractors, vendors and representatives of private industry.
FACTOR 7. PURPOSE OF CONTACTS
- Contacts are made to coordinate and/or obtain information relating to the Support Services operation.
FACTOR 8. PHYSICAL DEMANDS
- This position is basically and primarily sedentary. Must be able to file and retrieve documents from filing cabinets up to shoulder level. Assist with packing, filing and retrieving files weighing up to 30 pounds.
FACTOR 9. WORKING CONDITIONS
- Work is performed indoors in areas that normally have adequate heat, light and ventilation.
SPECIAL REQUIREMENTS
- Must obtain High school Diploma
- May be required to possess a valid state driver license, as travel to other facilities may be required within the normal scope of duties.
